“Keeping Data Secure”

We support FTP and Secure FTP on our FTP server and https on our web server.

We recommend you NOT to use FTP, as it will transfer data over the internet that can be compromised. Secure FTP will encrypt the data and protect it from being viewed by unauthorized people.  We can not be responsible for any data the is compromised to or from our facility using standard FTP. All files sent to us should be compressed via ZIP or GZIP. Passwords can be included within ZIP files. Files can be encrypted via PGP for enhanced security. Private accounts need to be set up prior to sending any files to us.

Please contact your sales representative or project manager when you are ready to transfer files to or from a private account. If using our FTP server, we recommend you use WSFTP Professional from www.ipswitch.com or Core FTP LE from www.coreftp.com.

**Please note that there is a one-time charge of approximately $54 for the WSFTP Professional. CoreFTP LE is free; however they do offer a professional copy for a charge. Both products support SFTP using SSH and function similarly.

STANDARD FILE FORMATS FOR MAILING PURPOSES

The following preferred file formats are requested when submitting address files for mailings:

1) Spreadsheet (Microsoft Excel)

2) DBF/Dbase (Microsoft Access)

3) Delimited text (Tab, pipe “|”, or other delimiting character text file)

4) CSV  (Comma separated, variable width text file)

5) Fixed field (Field width is consistent throughout file for each record with the

beginning and ending positions for each field defined)

Note:  Other formats can be used but may require more extensive data processing work which may incur extra charges. These include, but are not limited to Microsoft Word documents or Formatted Label files.

Other important requirements:

  • Do not include formatting characters (non-printing ASCII codes)
  • Do not include headers, footers, subtotals, page breaks, or page numbers
  • The information in fields must be consistent. For example, “names” are always in the
  • same field, “addresses” are always in the same field.
  • Be sure to indicate all fields you want to retain in addition to address fields
